KeaBooks grows up: invoices, receipts and tax-date reminders

The contractor side now writes invoices your clients pay from a link, keeps receipts with the expense, and emails you before every GST, provisional and end-of-year date.

KeaBooks started as a tax calendar. This week it became the thing a sole trader can actually run their books with.

Invoices

Write an invoice in a minute: client, lines, GST added if you charge it. Send it and your client gets a link to a clean, printable page on keabooks.co.nz. When the money lands, mark it paid and the income is recorded in your transactions like any other dollar, so your GST worksheet and your accountant's summary see it without you typing it twice. Numbers never repeat, a sent invoice is locked, and a paid one is final.

Receipts

On any money-out transaction, add a photo or PDF of the receipt. It is kept with that transaction, listed under KeaBooks by tax year, and shown to your accountant through your link for that year only. Receipts are stored privately in Sydney and never get a public address.

Tax-date reminders

One email when a GST return, provisional instalment, terminal tax or IR3 date is coming up (3, 7, 14 or 30 days ahead, your choice) and one on the day. The dates come from the same calendar KeaBooks shows you, so the reminder and the page can never disagree. Provisional instalments carry the estimated amount when you have told us last year's residual income tax.

KeaBooks is free while it is in beta. When it leaves beta it will be $19 a month or $190 a year with bank sync included, and a 30-day free trial.
